# Custom AI Workflow or an Off-the-Shelf Tool?

AI in marketing

Custom AI Workflow or an Off-the-Shelf Tool?

The team is stretched and every week brings a new AI tool that promises to help. Some of them would. Others would add a subscription and a new place to copy-paste into. You need to know which process to automate first, and whether a ready-made tool or a custom workflow fits it.

Why the choice is hard

The decision gets confused because the question usually starts with the tool instead of the work.

Nobody mapped the work first

Without a clear list of the repeated tasks, their inputs, owners and output, every tool looks useful and none of them fits exactly.

Off-the-shelf tools fit the average company

They do the common version of a task well. When your process has its own data, approvals or formats, the gaps fall back on the team.

Custom builds have a running cost

A workflow built for you needs someone to maintain it, check its output and fix it when a connected system changes.

The first process picked is the wrong one

Teams often start with the most visible task rather than the one that is repeated, rule-based and easy to check.

Score your candidate processes

List the three to five tasks the team repeats most, then answer these for each.

- How often it runs, and how much team time it takes each week.
- Whether the inputs and the expected output can be written down clearly.
- Whether a person can check the result quickly before it goes out.
- Which systems it touches: ad accounts, CRM, analytics, email, documents.
- Whether a common tool already does it the way you need, without workarounds.
- What happens if it goes wrong, and who would notice.

Pick the process, then the build

Start with the task that scores high on frequency and time, has clear inputs and outputs, and is easy to check. If a ready-made tool handles it the way your team works, buy the tool. If it needs your data, your rules or several of your systems, a custom workflow with explicit checks is usually the better fit.

Either way, define how you will judge it before you start: time saved, errors caught, output reviewed. The [AI marketing pilot decision](https://yanivgoldenberg.com/guides/ai-marketing-pilot-decision/) guide helps check whether a workflow is ready, the [automation ROI calculator](https://yanivgoldenberg.com/tools/marketing-automation-roi-calculator/) models the value against running costs, and the [AI agents](https://yanivgoldenberg.com/ai-agents/) catalogue shows the custom workflows I build.

What I can and cannot show here

I have no published client case with measured results from an AI workflow, so this page offers a decision method, not a result. The [AI agents](https://yanivgoldenberg.com/ai-agents/) pages describe what each workflow does, its inputs and its checks.

When the shortlist is clear and the build is not

Help from outside pays off when you know which process to automate and need it built, checked and handed over. Start with a 15-minute call to see whether a tool or a build fits. Custom AI work is scope-dependent; if the question is wider than one workflow, the [Diagnostic](https://yanivgoldenberg.com/growth-audit/) is $6–8K, fixed scope.

Questions about AI tools and custom workflows

Which marketing process should we automate first?

One that repeats often, takes real team time, has clear inputs and outputs and is easy to check. Reporting and campaign QA are common starting points.

Is a custom workflow expensive to maintain?

It needs an owner and checks. Budget for maintenance from the start, especially when it connects to systems that change.

Will AI replace our marketing team?

For most teams it removes repeated work so people can spend time on decisions, creative and customers.

How do we know it works?

Measure the task before and after on the agreed criteria, and review a sample of the output regularly.
